Case Studies
and the clients we work with
Global leader in engineering and testing services focusing on safety testing.
Challenge:
- Regular calibration of all instrumentation based on time or usage, with some requiring multiple calibrations or being part of a set needing unique calibrations.
- Previous tracking through Excel and MS Access, with certificates on a local server in a frequently changing folder structure.
- Excessive time spent by staff on maintaining instruments rather than testing.
- Calibration history and data prone to being lost.
- Delays in testing due to out-of-calibration instruments.
- Difficulty in tracking multiple calibrations per instrument and locating supporting documents.
Solution:
- Developed a standardized data structure for housing instruments and their calibration data, allowing deployment across multiple locations.
- Streamlined data entry and management, with secure cloud storage for data and files.
- Enabled multiple calibrations per instrument, bulk calibration updates, and grouping of instruments into sets.
- Implemented a user-friendly UI for assigning instruments to sets, tracking features, reminder flags for calibration, location tracking of instrumentation, history log for each equipment piece, linkage of calibration paperwork to instruments, bulk file uploads, and an API for Excel integration.
Results:
- Now tracks over 15,000 instruments with 45,000 calibrations and has over 100 active users.
- Significantly reduced time required for manual data entry and improved the quality of information tracked.
Designated BridgeUSA J-1 Visa Program Sponsor for the Summer Work and Travel, Internship, Trainee, and Teacher Programs by the US Department of State.
Challenge:
- Coordination needed between the exchange visitor, host company, and international partner, adhering to US Department of State regulations.
- Previously managed through an inadequate MS Access program, multiple Excel files, a physical file system, and various software solutions.
- Complex and time-consuming communication across 2-4 time zones.
- Delays in applications due to misplaced documents and lost change requests.
- Inconsistent organizational structure across programs.
- US Department of Homeland Security requires timely updates of exchange visitor data, with manual monitoring being time-consuming and error-prone.
Solution:
- Developed a web app for staff, host companies, international partners, and exchange visitors to manage data.
- Automated system for program timelines, with automatic reminders for deadlines and document submissions.
- Support Centers with role-based permissions for submitting and viewing data, access to training manuals and program information.
- Real-time data updates and integration with the US Department of Homeland Security SEVIS program, including API integration for batch data changes and auditing reports to ensure data matches SEVIS.
- Application process streamlined with document upload, easy approval pane, discussion log for corrections, and automated status and reminder emails.
- In-country monitoring includes orientation videos, quizzes, check-ins via support center, and email reminders for deadlines.
Results:
- Tracks over 4000 exchange visitors per year.
- Seamlessly works with 48 international partners across 24 countries with 100% partner buy-in.
- Engages 870 host companies nationwide with 97% buy-in.
- Passed all audits since collaboration with Engineered IT.
- New features implemented include an online job board, interview scheduling calendar, virtual job fair system, and housing integration.
